We respect and value the privacy of everyone who visits the Advice Intelligence website and will only collect and use personal information in ways that are described here, and in a manner that is consistent with our obligations and your rights under the law in relation to our Advice Intelligence business.  

This Privacy Policy explains the kind of personal information we collect, the purposes for which it is collected, how personal information is stored, who it is disclosed to, and how to contact us to either access or correct any personal information or to make a privacy-related complaint.  

In this Policy, personal information is any information that could identify you or be used to establish your identity. 

We provide Advice Intelligence software and related support and maintenance services (“Services”) to organisations, such as financial planning firms or independent financial advisers, to help those organisations provide their services to their own clients. 

This Policy relates to information we collect when you use our Services or interact with us in relation to our Services.  

When we provide our services under contract or under the terms of use with an organisation (for example financial planning firms or independent financial advisers), that organisation controls the information processed. Accordingly, that organisation’s privacy policy will apply to any and all personal information that you may provide to them. This Policy does not apply to the extent we process personal information in the role of processor on behalf of those organisations. 

By using this website or entering into an agreement with us or otherwise providing us with your personal information, you agree to the terms of this Policy.  

1. Why do we need your personal information? 

We collect, hold, use and disclose personal information so we can establish, manage and administer our Services, to carry out business functions and comply with legal and regulatory obligations. We may also use and disclose your information for purposes related to our Services such as:

  • undertaking and completing transactions with parties with whom we do business,

If you join our social media communities, we have access to your publicly visible details, which may include your name and photo.

Most of the personal information we collect will be directly from you. We collect and hold personal information for business purposes in a variety of ways, for example:

From time to time, we may share your personal information with other entities both within and outside of the GBST group. The entities we might share your personal information with vary and can include:

  • service providers and specialist advisers we engage to provide us with services, such as audit and insurance services; 
  • our agents, contractors and external advisors who we engage to undertake our business functions and activities from time to time or who assist us in undertaking our business functions and activities;

  • anyone to whom we, or our service providers, are required or authorised by law to disclose your personal information.  

Wherever possible, we will anonymise and de-identify Personal Information before it is disclosed to a third party.   

5. Do we send personal information to overseas recipients? 

Some of the entities we share information with may be located in, or have operations in, other countries. This means your information might end up stored or accessed in overseas countries including the United Kingdom and Vietnam.  

When we send your personal information to overseas recipients, we make sure appropriate data handling and security arrangements are in place.  

6. How do we market our software and services? 

From time to time, we may use or disclose your Personal Information to inform you about our products and services. For example, your contact details may be shared with other internal personnel within the GBST Group so that you can be contacted to take part in surveys or focus groups, in order to assist us improve our services. If you do not wish to receive marketing materials from us, you may opt-out at any time as set out in any communication or by contacting our support staff. 

7. How do we protect your personal information? 

Only authorised personnel have access to your Personal Information, which we keep in a secure environment. While we will take all reasonable steps to protect your Personal Information, sending and receiving information over the Internet is always at your own risk. No guarantee can be given that information sent over the Internet is completely secure. 

8. How can you access your personal information? 

To access the personal information we hold about you, please send an email request to our Privacy Officer using the contact details set out below. We will endeavour to grant you access to your Personal Information, but we may charge for giving access to that information. 

We may refuse to give you access to your personal information in certain circumstances, including where access would disclose commercially sensitive information or information relating to existing or anticipated legal proceedings. If we refuse to provide you with access to your personal information that we hold, then we will provide written reasons for the refusal and advise you of any available avenues of redress. 

9. How can you correct your personal information? 

Where necessary, we take reasonable steps to ensure the personal information we collect and disclose is accurate, up-to-date, complete and relevant. If we discover the information is inaccurate, out of date, incomplete or irrelevant, we will take reasonable steps to correct that personal information. If you find that information we hold about you is incorrect, please contact our support staff to notify us of the correct information. If we refuse your request for correction, we will provide written reasons for the refusal and advise you of the mechanisms available to you to complain about the refusal. 

10. How do we hold your personal information? 

We will not keep your Personal Information any longer than we need to. We will only retain your Personal Information during the period during which you receive our services, unless we are required by applicable laws to retain that information, such as to comply with record-keeping obligations.  Requests to delete information should be made to the Privacy Officer. Requests to delete Personal Information will be subject to any applicable legal reporting, document filing or retention obligations that we are required to comply with.

13. Credit Card information 

We confirm your credit card information is not stored anywhere within the software. Any associated online payment is processed entirely by a third party ("Card Authoriser"). The Card Authoriser will process the credit card transactions needed to make an online payment and store data related to these transactions as per their own privacy policies. We cannot access the full credit card number used to make the payment. 

14. External links 

Our website may contain links to websites operated by third parties. If you access a third party website through our website, personal information may be collected by that third party website. We make no representations or warranties in relation to the privacy practices of any third party provider or website and we are not responsible for the privacy policies or the content of third party providers or their websites. Third party providers are responsible for information they collect, use and disclose about you under their own privacy practices and we recommend that you consider their privacy policy. 

15. Passive information collection 

We use various technologies, such as cookies, to collect anonymous information from users of our website. This information helps us analyse website traffic and guide developments of the website. This information includes statistics on how our visitors use our website, social media channels and other internet services provided. 

All cookies are used solely for the purposes of maintaining your favourite settings, optimisation of our web sites and/or ensuring only authorised access is possible to your account.
